WorkForce365 Overview
Understand what WorkForce365 does, how its modules work together, and where to begin.
What WorkForce365 Does
WorkForce365 is a centralized workforce operations system for maintaining employee records, recording attendance, managing leave, configuring salary, processing payroll, tracking business earnings and costs, and connecting approved external systems.
Key Modules
Each module owns a clear part of the workforce and finance workflow.
Employees
Stores personal information, employment details, schedules, status, and salary assignments.
Attendance
Tracks check-in, check-out, breaks, daily status, overtime, and monthly work summaries.
Leave
Handles leave applications, approvals, balances, quotas, and public holidays.
Salary Config
Defines salary headers, component shares, performance ranges, and employee templates.
Payroll
Calculates monthly pay, bonuses, deductions, payments, dues, payslips, and reports.
Earnings & Costs
Records earnings and expenses and produces period-based financial reports.
API & Webhook
Provides controlled data exchange for approved external applications.
Administration
Controls roles, defaults, devices, notifications, automation, and system settings.
How the System Works
WorkForce365 follows a connected record-to-calculation workflow.
- Administrators create employees, work schedules, leave rules, and salary configurations.
- Employees and attendance devices create daily attendance and break records.
- Managers review attendance exceptions and approve or reject leave applications.
- Monthly summaries combine attendance, leave, holidays, required hours, and overtime.
- Payroll uses approved monthly information with salary components, bonuses, and deductions.
- Reports and integrations make authorized information available for business operations.
Main Interface
The application keeps navigation, daily information, and record actions in predictable locations.
Sidebar
Use the left sidebar to open the modules permitted for your role.
Header
Use header controls for account actions, notifications, and other global tools.
Dashboard
Review current workforce indicators and open the records that need attention.
List and Detail Pages
Search and filter lists, then open a record to view or perform an authorized action.
Roles and Access
Menus and actions are shown according to the signed-in user's responsibilities.
Employees
Use personal attendance, leave, profile, and other self-service features made available to them.
Managers and Administrators
Review records and use the operational, payroll, finance, integration, or system actions assigned to their role.
Common Tasks
Most routine work follows the same review, update, and verification pattern.
- Use filters to select the correct employee, status, month, and year.
- Review the current record and related information before making a change.
- Complete the permitted add, edit, approval, payment, or calculation action.
- Confirm the updated status, totals, and downstream summary before moving on.
Where to Begin
New users should continue with Getting Started, then open the page for their daily responsibilities.
- Read Getting Started to learn navigation, permissions, filters, and safe data entry.
- Review Employees, Attendance, and Leave to understand the core workforce records.
- Continue to Salary, Payroll, and Earnings & Costs for calculation and payment workflows.
- Use API & Webhook only when integrating an approved external system.
Troubleshooting
Check access, filters, source records, and calculation periods before reporting a problem.
Menu Not Visible
Ask an administrator to verify that your account has the role required for the module.
Record Not Found
Clear filters and confirm the employee, date range, month, year, and record status.
Unexpected Calculation
Review the source attendance, leave, salary, and effective-date settings, then recalculate the affected period.
Action Did Not Complete
Read the displayed validation message and correct any missing or invalid information before trying again.
